Access, identity, site leave, payments, tracking

Crew members use a crew ID plus password. Partners continue as a guest. Filings start at $1,000. This Help Center is the crew desk. Practice questions sit on the public Help page.

Getting started

What is Archaeonest and what can I do here?

Archaeonest is a field support desk for U.S. field archaeologists and authorized family. From one account session you can file paid site leave (fifteen categories), expedition closeout, new posting, and artifact placement; order field kits and research cards; attach a crew ID so the request is tied to the correct record; and track a field archaeologist with the unique crew ID. Administrators review identity, payment proof, and the packet before a status change is mailed.

Who is allowed to use the portal?

Field archaeologists who have been issued a crew ID and portal password can sign in to the crew workspace. A spouse, parent, child, sibling, or other authorized family member may continue as a guest or create a family account. Every filing still requires a valid crew ID so the packet is attached to the right crew member. Do not file in someone else’s name without authority to act for that member.

What is the difference between the public site and the crew workspace?

The public site uses the same top navigation as the homepage: services, track, how it works, help, and contact. After a crew member signs in with crew ID and password, the layout switches to a crew sidebar with the bio, awards, current and last team, leave history, My requests, and paid services. Guest family stays on the public menu. Signing in as a crew member never logs a guest out of a different browser, and a guest session never replaces crew sign-in on a shared computer.

Do I need a family account, or can I stay a guest?

A family account is optional. Guests enter name, email, and phone once, then put the crew ID on each form. Status still goes only to the email on that request. Create a family login if you want a saved profile across visits. Crew members should still use Crew access, not the family register form, because the crew file is bound to the crew ID.

What should I have ready before I start a filing?

Have a recent face photo, tax identification for the person filing, a reachable email you will check, and the payment method you will use. A government photo ID (passport, field ID / crew badge, driver license, or national ID) is required on expedition closeout, new posting, artifact placement, shop, and flights. On a leave filing, if the filer has no government photo ID they may declare that and still reserve the packet. Leave, expedition closeout, and new posting also need the crew ID. Artifact placement does not. Leave packets also need travel dates, duration, and destination. Expedition closeout needs field tenure and a forwarding address. New posting needs assignment and household information if family will relocate. Artifact placement needs a cleared artifact (documented 2+ years), a 1,000–30,000 character catalog note, and a receiving-collection address.

Crew access & crew IDs

How does a crew member sign in?

Open Crew access and enter the crew ID exactly as issued, plus the portal password. Both fields are required. The crew ID alone does not open the crew file. After a successful sign-in you land in the crew workspace. Sign out when you leave a shared device.

What does a crew ID look like, and why does the form accept several formats?

Administrators issue a short alphanumeric crew ID for each crew record. The lookup accepts the code with or without a hyphen and is not case-sensitive, so a code stored as AB-1234 can be entered as AB1234 or ab-1234. If lookup still fails, the code is wrong or the record is not active — contact the desk with the crew member’s full name rather than guessing codes.

I forgot the crew password. Can family reset it?

No. Family and guests never receive the crew password and cannot reset it. Only the crew member (or the administrator who issued the record) can restore access. Open Contact or Support, identify the crew ID, and request a password reset through the desk. Do not email the password in the clear on social media.

Can two people use the same crew ID at the same time?

The crew ID identifies the crew member on a filing; it is not a shared login. Family files as a guest and types the code on the form. The crew member signs in separately with ID plus password. Those sessions do not overwrite each other. Never share the crew password with anyone who is only supposed to submit a family packet.

Where are role, team, awards, current posting, and last leave shown?

Those fields live on the crew file after crew sign-in. An administrator posts decorations, current team, last team, and completed leave history. You cannot edit them yourself. Last leave on the profile is historical; it is not the same as submitting a new paid leave request, which creates a new reference, fee, and review queue.

Why does a form still ask for the crew ID if I already signed in?

Guest and family sessions do not inherit a crew login. Neutral users must attach the code on every leave, expedition closeout, new posting, field-kit, or research-card order so the packet is not filed against the wrong member. Artifact placement is the exception: guests file in their own name and do not enter a crew ID. Signed-in crew members usually have the code filled from the session on other forms; you can still confirm it matches the record before you pay.

Identity & applicant data

Whose identity goes on the application — the crew member or the family member?

Complete the applicant block in the name of the person actually filing. If the crew member is filing, use self and the crew member’s identity documents. If a spouse or parent is filing, use that person’s legal name, date of birth, tax ID, photo, and ID images, and set relationship to spouse, parent, child, sibling, or other. The crew ID still ties the packet to the field archaeologist.

I live outside the United States. Can I still file?

Yes. Filers in any country complete the same packet. Choose your nationality and country of residence from the list, enter a reachable phone with country code, and use the tax or national identity number issued in your country (or a passport number if you have no tax ID). Home and leave addresses follow that country’s rules: state or province is required where those countries use one; postal code is optional in places that do not use one. U.S. citizens living abroad still use an SSN. Passports, national ID cards, residence permits, and driver licenses from any country are accepted. Leave destination can be any country; the packet marks it as outside the U.S. automatically.

I am not a U.S. citizen. Do I need a Social Security Number?

No. Choose “Not a U.S. person,” then use an ITIN if you have one, a national tax or identity number from your country, or your passport number if you have no tax ID. U.S. citizens and U.S. resident aliens still use an SSN or ITIN, including if they live abroad. The tax-ID country must match the document you are using.

Which photo ID is accepted, and when is the back of the card required?

Accepted types include passport, national identity card, residence permit, driver license, U.S. state ID, U.S. field ID / crew badge, and consular ID. Passports generally need only the data page (no reverse). Cards with a back — licenses, field ID, national ID — require a clear photo of both sides. Face photos must show the applicant unobstructed; identity files are held for administrator review and are not published on the public site. On a leave filing only, a filer who truly has no government photo ID may still proceed: upload a face photo, choose “I do not have a government photo ID,” give a reason, and sign the declaration. The packet is reserved; the desk may still request an ID before approval. Expedition closeout, new posting, artifact placement, shop, and flight filings still require a photo ID.

Why is my tax ID masked after I submit?

Confirmation pages and receipts show a masked tax ID so a printed page or forwarded email does not expose the full number. Administrators still see the complete identifier and the ID images on the internal file. If a digit is wrong, message Support with the reference; do not post the full number in a public ticket subject line.

Can I file if I am under 18?

Applicant date of birth must show the filer is at least 18. A minor is not the applicant of record on this desk. An adult spouse, parent, or other authorized adult files in their own identity and lists the relationship to the field archaeologist.

What address formats work, including field-camp mail?

Use a street address in any country, or a field-camp mail line as offered on the form. Include city, the state or province if that country uses one, postal code if that country uses one, and country from the list. Names may use letters from any language. Expedition closeout packets need a forwarding address where mail can actually be delivered after review. Field-kit shipping uses the address you enter on the order — confirm camp mail-room rules before you pay.

Site leave

Which site-leave categories can I file?

The desk supports fifteen paid categories posted by the administrator, including Short site pass, Administrative leave, Seasonal rest leave, Compassionate / humanitarian, Emergency leave, Medical / sick leave, Paternity / secondary caregiver, Adoption leave, Recovery leave, Research travel pass, Parental leave, Maternity / primary caregiver, Remote-site rest leave, Mid-season rest, and Season-end leave. Each type has its own base filing fee on the leave form.

How is the site-leave fee calculated?

The amount is the base fee for the leave type plus any duration surcharge. Durations run from 3 days through 6 months (3 days, 4 days, 1 week, 10 days, 2 weeks, 1 month, 2 months, 3 months, 6 months). Short site pass is typically the low end of that scale; season-end leave and mid-season rest sit at the higher base fees. The total is shown before you reserve the request. The portal minimum for field filings is $1,000.

Does paying the fee approve my leave?

No. Payment confirmation only moves the packet into administrator review. Status can later be pending, under review, approved, or denied. A paid fee does not create a project order, charge or uncharge a leave balance in a university or museum system, or guarantee travel. Keep copies of your confirmation email and reference until the request is closed.

How is last leave on the crew file different from a new request?

Last leave (and other leave records on the bio) is history an administrator already posted to the crew file. A new leave application is a separate paid filing with its own reference, applicant identity, duration, destination, payment proof, and review. Filing again does not rewrite the historical block until staff update the record after a decision.

What should I put in an emergency or compassionate packet?

Choose Emergency Leave or Compassionate / Humanitarian as appropriate, pick a duration that matches travel, and explain the circumstance in the form fields. Identity and payment still follow the same rules as any other filing. Supporting documents can be described in the packet; if the desk needs extra files they will reply to the email on the request.

Can I change duration or leave type after I reserve a request?

Once a reference is created, type, duration, and amount are locked to that filing. If you picked the wrong category, do not send a second payment on the same reference. Open Support with the reference, or file a new request only if the desk instructs you to. Unpaid reservations that you abandon should be mentioned in the ticket so staff can cancel them.

Closeout, new postings & artifacts

How does an expedition closeout filing work?

Open Expedition closeout, attach the crew ID, complete applicant identity, then choose a posted expedition closeout category and packet (standard through director-priority). Enter field details and a forwarding address. Combined totals run from $1,000 to $25,000. After you submit, you land on payment proof. Staff confirm funds, then review the packet. Approval on this desk is not by itself a season report or a payroll closeout; it is processing of the request you filed here.

What is a new posting request used for?

New posting is a paid request for a new assignment. Choose a posted move type (domestic site through director-priority) and a move class (unaccompanied through director-priority lift). Include whether dependents will relocate, receiving location, and the crew ID of the crew member. Combined totals run from $1,000 to $25,000. Like leave, payment is confirmed before review, and status is emailed only to the address on the request.

Should I file expedition closeout and season-end leave together?

They are separate products. Season-end leave is a leave category with its own type fee and duration surcharge. Expedition closeout is a personnel packet with a closeout category fee plus a packet surcharge. If you need both, submit each form, pay each file ID separately, and keep both confirmation emails.

Can family file expedition closeout or new posting without the crew password?

Yes. Continue as a guest, use your own applicant identity, and enter the crew ID. You will not be asked for the crew password. The crew member can still sign in later to see My requests that are tied to that ID, depending on how the desk linked the record.

Can I request an artifact through this desk?

Yes. Open Artifact placement and choose an object that is documented 2 years or more and marked cleared. Guests and partners can file this without a crew ID — use your own identity on the form. Artifacts under 2 years documented or on conservation hold cannot be selected. Amounts are $500 to $5,000,000 by object and class. Each cleared artifact has a full written catalog note. You may edit that text so it matches the receiving collection — it must stay between 1,000 and 30,000 characters. Pay the posted amount for that artifact, then wait for catalog review. Approval here is not a government export permit.

Why are some artifacts listed but not offered?

The catalog shows every artifact so the rule is visible. Ember is under 2 years documented and still in processing. Bramble is 3 years documented but not cleared until conservation review finishes. Only artifacts that meet both tests — 2+ years documented and cleared — can be placed.

Field kits & research cards

What are field kits?

Field kits are catalog kits with listed contents (hygiene, food, kids mail, morale crates). Price is the amount on the product card. You attach the crew ID, complete buyer identity, and pay with a posted method. At checkout choose send to yourself (your identity address) or send to the field archaeologist — the system fills team, camp quarters, and camp from the crew file. After payment is confirmed, staff pack and ship, or issue a store pickup code if you chose that. Kits are not museum issue.

How do research cards work?

Research cards are digital products. There is no plastic card in the mail. After the administrator confirms payment, the PIN is emailed to you or to the field archaeologist. Voice cards are audio only and cost less. HD video cards include a 720p camera session plus voice and cost more because they use the video circuit. They are not a field radio and not an official project telephone system.

Can I put more than one item in a cart?

Yes. The cart holds field kits and research cards together and checks out once against the crew ID. You pick one recipient: yourself or the field archaeologist. Kits mail to that person (or store pickup). Research-card minutes in the same cart are emailed to them. Leave, expedition closeout, new posting, and artifact placement are not cart items.

Can you ship to APO, FPO, or DPO?

Yes. Sending to yourself: choose field-camp mail and enter the crew / camp mail line, box, city, region, and postal code. Sending to the field archaeologist: the desk uses the camp mail line on the crew file. Confirm the line with the camp mail room before you pay.

When will a pack ship, and can I change the address?

Orders move from awaiting payment to paid, processing, then fulfilled after staff confirm funds. Shipping and minute-issue notes are in the status emails. If the address is wrong, write Support with the order reference before the status is fulfilled. After fulfillment, address changes may not be possible.

Payments & fees

Which payment methods are accepted?

Only methods the administrator has posted: cryptocurrency (BTC, ETH, USDT on TRC20 or ERC20, USDC on ERC20 or Solana, SOL), bank wire, Zelle, Venmo, Cash App, or gift card. There is no instant card checkout. You choose a method when you file, then on the next screen you paste the hash, wire reference, Zelle/Venmo/Cash App confirmation, or gift-card details. Staff confirm the transfer before they review the request.

What proof do I submit?

Crypto: asset, network, and a transaction hash of at least eight characters. The desk runs a live on-chain lookup against posted wallets. Wire: bank confirmation; a receipt image or PDF is required. Zelle, Venmo, or Cash App: sending name, confirmation, date, and a screenshot. Gift card: brand, full card number, and PIN if the brand uses one. JPEG, PNG, WebP, or PDF.

Why is there a filing fee, and what is the minimum?

Leave, expedition closeout, and new posting are paid desk services. Each total is the category fee plus the packet surcharge. Posted combos run from $1,000 to $25,000 on all three filings. Crew filings are never below $1,000. Artifact placement uses the catalog amount for that object, from $500 to $5,000,000. Field kits and research cards use the catalog price for that item. Amounts are displayed before you submit. Paying does not guarantee approval of a crew request.

When do I get a receipt?

You receive a confirmation email when the request is reserved, another when payment details are received, and a receipt after an administrator confirms the fee. You can print a receipt from the request once it is available. Receipts show a masked tax ID. Gift-card numbers you submitted may appear on the printable receipt so you can verify what was sent.

My payment was rejected. What should I do?

Rejected means staff could not match the hash, wire reference, or card to the posted instructions or the amount. Do not send a second transfer until you read the email. Open Support with the reference, the method you used, and a new proof file if asked. Using a different amount or a wallet that is not on the instruction sheet is a common cause of rejection.

Can I pay two requests with one transfer?

No. Pay each leave ID, expedition closeout ID, new posting ID, placement ID, order ID, or reservation ID in a separate transfer. Put that ID in the memo or note. Do not invent a combined payment.

What if I send the wrong amount?

Each file is paid in full in one transfer. Enter the amount you actually sent. Staff post what arrived. A short pay stays as a remainder against the full total. An overpay is held as credit on that email. Unpaid files expire after the posted number of days; reminder emails go to the filing address.

Can I change method after I reserve the file?

The method you chose on the last apply step is locked on the pay screen. If you cannot use that rail, open Support with the file ID before you send funds. After the desk confirms payment, do not send a second transfer.

Are fees refundable if leave is denied?

Denial after a completed review does not automatically refund the filing fee. Open Support with the file ID if you need a refund reviewed. Catalog orders cancelled before fulfillment follow the status on that order.

Tracking, email & status

How do I track a request?

Open Track and choose Packet. Enter the file ID from the confirmation email and the same email used on that filing. A match opens the packet: payment, status, and receipts. A unique crew ID on the Crew file tab only loads the public archaeologist record — it does not show leave or kit status. Signed-in crew and guests with a session can also use My requests.

How do I track a field archaeologist?

Use Track and enter only the unique crew ID issued on that record (for example AN-7K2M9Q). Hyphens are optional and the lookup is not case-sensitive. A valid ID shows the crew file so you can confirm the person. An incomplete, mistyped, unknown, or inactive ID is rejected in plain language. Track is not a login and does not open filings. Signed-in crew members still use My requests for packets on their session.

What do application statuses mean?

Awaiting payment: the packet is reserved and staff have not confirmed funds. Pending: payment is in and the desk has not started detailed review. Under review: an administrator is working the identity or service details. Approved or denied: a decision was recorded and emailed. Orders use pending, awaiting payment, paid, processing, fulfilled, or cancelled.

I did not get an email. What now?

Search spam and promotions for the site name and the file ID. Packet tracking needs that ID plus the filing email. Crew-file Track uses the unique crew ID only. If nothing arrives, open Support with the file ID and the email you used. Status is never posted in a public comment thread.

Can I add a second email or a phone number for alerts?

Notices go only to the applicant email on that request. You may list an alternate phone on the identity form for the desk to call during review, but tracking and receipts stay on the primary email. If that inbox is shutting down, message Support before you lose access.

How long does review take?

Timing depends on payment confirmation, completeness of identity images, and desk hours (posted in the footer; default Sunday–Thursday, 09:00–17:00 Israel Time unless the administrator set other hours). Incomplete tax IDs, unreadable ID photos, or mismatched payment proof add time. A reserved request with no proof submitted will not enter review.

Privacy & security

How is my data used?

We use the identity, crew ID, payment proof, and support messages you submit to process the request, confirm payment, email status, and keep records. We do not sell personal data. Identity files are not published on the public site. See the Privacy Notice for retention and sharing with payment rails or as required by law.

Who can see my ID photos and full tax number?

Administrators on the operations desk. Public confirmation pages mask the tax ID. Do not send crew IDs, ID copies, or card PINs through public social channels. Use the portal Support form or Contact page, which can accept a JPEG, PNG, WebP, or PDF up to 8MB.

What cookies does the site use?

Session, CSRF, and security cookies are required for login, guest access, and forms. Preference cookies remember theme and the cookie banner. Blocking all cookies will break crew sign-in and guest sessions.

How do I report a suspected fraudulent crew ID or impersonation?

Do not pay a request you did not start. Contact the desk immediately with the reference, the code that was used, and any email you received. Impersonating a field archaeologist or submitting another person’s documents without authority violates the Terms of Use and will be denied.

Flight booking

How do I book a flight for an archaeologist?

Open Flight booking. The usual origin from Jerusalem is Tel Aviv (TLV). Set the destination to the city of the person they are going to see — any country. Name that host, search commercial airports worldwide, pick outbound (and return), enter passport names, attach the crew ID, and hold the PNR. Pay by a posted method. The itinerary lists the host. It is a passenger ticket, not a boarding pass or a charter.

What is a PNR and when do I get a ticket?

The six-character PNR is your reservation locator. The FL- reference is the desk record. After you hold seats the portal prints a full itinerary (route, times, travelers, and fare). After payment is confirmed the desk issues 016- e-ticket numbers and seats. Track with the PNR or FL- code plus the email on the booking.

Can I cancel a flight?

Unpaid holds can be cancelled in the portal and seats return to inventory. Ticketed travel sends a cancel request to the desk for review. Changeable (premium and business) fares are noted on the offer. Economy is a held fare until the desk says otherwise.

Support & the desk

How do I contact the field desk?

Use Contact on the public site or Support inside the portal. Include your name, email, phone, subject, message, and the case reference if you have one. You may attach a file (JPEG, PNG, WebP, or PDF, max 8MB). Replies go by email. Desk hours and phone, when posted, appear in the footer.

What if a form looks wrong or I uploaded the wrong ID?

If you have not submitted payment, you may be able to correct drafts on the next visit if a draft upload was saved. After a reference exists, open Support with that reference and explain what to replace. Do not create duplicate paid filings for a typo unless the desk tells you the original was cancelled.

Can the desk change a crew member’s awards or team if I email them?

Awards, current team, last team, and leave history are administrator-posted fields on the crew file. Family cannot edit them from a guest session. If a decoration or team is missing or wrong, the crew member should sign in and the desk can update the record after verification. That update is separate from a paid leave or expedition closeout packet.

Where can I see posted prices without starting a filing?

Open All services for leave, expedition closeout, and new posting categories, packet surcharges, and catalog items. Each filing form also shows the live total when you pick a type and packet. Catalog prices are on each field kit and research card.

Is help available in languages other than English?

The portal interface is English. If you use a browser translation tool, double-check crew IDs, tax IDs, wallet hashes, and gift-card numbers in the original characters before you submit. Support replies are in English unless the desk states otherwise.
